HENNGE E-mail DLP Enables Cloud-Based Email-Security, Reducing the Risk of Misdirected Email
- Company: SUZUKI MOTOR CORPORATION
Suzuki Motor Corporation is one of the world's leading transportation equipment manufacturers, focusing on automobiles, motorcycles, and marine products. The company's email system had been operated in an on-premise environment, but with the shift to cloud computing, the misdirected email prevention system was replaced with "HENNGE One”. The company is now utilizing “HENNGE E-Mail DLP” to achieve efficient email security.
Consideration of transferring the on-premise email misdelivery prevention system as the system environment shifts to the cloud
How did Suzuki previously take measures to prevent email misdirection?
Previously, we were using an on-premise email misdirection prevention system. Similar to many other companies, we communicate with people outside of the company via email, so we were exposed to the risk of e-mail misdirection on a daily basis. As security awareness in society as a whole increases and corporate information leaks become a social problem, in order to prepare for such risks, we believe it is essential to have measures ready in place to prevent accidental transmission.
How did you replace your existing misdelivery prevention system?
As the company's internal system environment shifted to the cloud, the on-premise misdirection prevention system became less and less user-friendly. While the mail server and other business systems were being shifted to the cloud, the mail misdirection prevention system remained on-premise, resulting in an inefficient configuration in which mail sent via the cloud had to first go through the company's internal server. Therefore, the company decided to consider transferring its email misdirection prevention system to the cloud.
The decision to implement HENNGE E-mail DLP due to its ease of integration with cloud systems.
Could you share the reasons behind your decision to install HENNGE One?
Aside from the fact that our internal system was being moved to the cloud, the ease of integration with other cloud systems was a major deciding factor. “HENNGE E-Mail DLP”, which is a function to prevent email misdirection of HENNGE One, can synchronize user accounts with other cloud systems, simplifying account management through single sign-on, thus, improving user convenience.
In addition, the linkage with the email service was smoothly supported as the email service only needed to change the settings on their side.
What were some of the challenges you faced when implementing HENNGE E-Mail DLP?
The process of setting up email filters is still undergoing constant improvements. Similar to settings such as firewalls, the level of security depends on the business and organizational structure of each company. Therefore, we feel that a certain amount of know-how and knowledge is required to set up the email filter. We intend to utilize HENNGE’s “configuration settings service” to support setting up the email filters. Such services would help us determine the level of email filtering that is appropriate for our company.
Improve email security and reduce the risk of system failure
How are you currently utilizing HENNGE E-Mail DLP?
Currently, we are using a function to hold emails temporarily. This function allows us to set a certain amount of time for the email to be on hold before sending it to an external company. During this time frame, if we notice a mistake, such as misdirection, we can cancel the transmission. This is a measure that was used in our previous misdelivery prevention system. We have been able to implement it at the same level even after the replacement of HENNGE E-Mail DLP.
We are also considering implementing "HENNGE Secure Download," which automatically converts attached files to URLs and allows the recipient to download them. HENNGE Secure Download allows the URL to be disabled after transmission, and even after the file is downloaded, you can keep track of who downloaded it. We are looking forward to using this service, as it is expected to further improve email security.
What has been the effect of introducing HENNGE E-Mail DLP?
The introduction of HENNGE E-Mail DLP has improved the convenience of the system over the previous misdelivery prevention system. In addition, there have been virtually no inquiries from users since its introduction. Previously, when we were using the old misdelivery prevention system, there were inquiries about not knowing how to use the system coming in on a daily basis. However, these kinds of inquiries have significantly decreased. This is because HENNGE E-Mail DLP has an extremely easy-to-understand UI, and I believe that users can operate it intuitively.
In addition, by being able to consistently send emails on the cloud, we were able to simplify the complicated email path and reduce the risk of system failures. Since HENNGE E-Mail DLP allows us to track the history of emails from the administration screen and check the response of the destination SMTP Server, it is easier to investigate in the event of a misdelivery or trouble with the recipient.
“Raising internal awareness” was an important part of the decision HENNGE One’s implementation decision process
Are there any points to keep in mind when implementing HENNGE One?
I think the key point of introducing this system was “how to foster security awareness within the company”. Compared to general business systems, investment in security measures tends to lag behind. Without reforming such organizational culture, it will be difficult to obtain internal cooperation for the implementation of security measures.
Recently, security-related incidents have frequently occurred in the automobile industry. As a result, our company is becoming more aware of security measures. We feel that this change in awareness within the company has encouraged us to introduce HENNGE One. Therefore, companies that are considering the introduction of HENNGE One in the future should try to raise awareness within the company by objectively grasping and disseminating case studies of other companies in the industry and industry trends.
