Egao Corporation, based in Kumamoto, Japan, offers a wide range of health food products such as black vinegar, blueberry, liver oil, and green juice, all of which are well-known through TV and radio shopping. Among its approximately 70 products, “Egao’s Black Vinegar Series” and “Egao’s Liver Oil Shark Pearl” have been supported by many customers for 16 and 17 consecutive years, respectively, becoming the number one health food mail order market in Japan. The company has recently replaced its e-mail security service with HENNGE One. The company has realized countermeasures against rejection of ZIP files and PPAP removal, which have spread among its business partners, and has achieved both convenience in e-mail operations and enhanced security, including large file delivery and malware countermeasures.

We interviewed Mr. Yasuhito Uchihara and Mr. Hirotsugu Katayama, IT Infrastructure T Associate of the System Department.

Considering replacement with a service that enables de-PPAP

Could you tell us how you came to replace your e-mail security service?

In recent years, we have been receiving an increasing number of requests from our business partners, including major corporations and local governments, that they cannot receive ZIP files with passwords from the standpoint of security enhancement. In addition, we had been using a cloud storage service for large files, with the entire company sharing the storage capacity, and we wanted to simplify the operation due to the complexity of management, so we started reviewing our tools. We decided to adopt HENNGE Onebecause of its simple and easy-to-understand UI and abundant functions.

What requirements did you have in mind when you were considering HENNGE One?

HENNGE One must be able to integrate with Microsoft 365, and have the same or better security functions than the tools we had been using up to now, as well as be able to achieve a PPAP-free environment. We also wanted the tool to be easy to use and understand for both our employees, who are the users of the tool, and our customers, who are the recipients. Introducing a tool with a complicated operating method would have an impact on business promotion, so we placed particular emphasis on the ease of understanding the operating method. (Mr. Uchihara)

— After comparing other services, what were the deciding factors in your decision to use HENNGE One?

The most decisive factor was the cost and the low operational management effort, since HENNGE One offers multiple functions in a single product, whereas in a conventional environment, multiple services would need to be installed, This has made it possible to protect against cyber attacks and other threats, and has strengthened our email security. In addition, large files can be securely exchanged and there is no need to manage separate file storage. In addition, HENNGE Email DLP is easy for anyone to use and solves PPAP issues. Many of our employees and business partners have used this service before, so we felt comfortable with the fact that it is a well-known service. (Mr. Uchihara)

Smooth implementation and internal deployment with onboarding support from the onboarding team

How did you proceed with the implementation after the decision was made?

After the introduction, we decided to first introduce HENNGE One in our system department and then roll it out to the entire company in phases. We are a BtoC business and some of our employees do not have high IT literacy, so it was also necessary to prepare an easy-to-understand manual. We received advice from HENNGE’s onboarding team in this area as we proceeded. (Mr. Uchihara)

How was HENNGE’s implementation support?

The onboarding team at HENNGE was very helpful, and we are very grateful for their support. The team was very helpful, and they provided us with a process chart to help us understand how to proceed at the outset. When we actually used the system in our department, we found several issues, such as how to conduct verification and how far to individually set conditions for handling specific addresses and the workflow that occurs during approval, but when we consulted with HENNGE, meetings were held as needed, quickly and carefully, We were able to proceed with confidence thanks to the accurate advice we received. (Mr. Uchihara)

What are the results after the introduction of the system?

We did not hold any explanatory meetings, but only announced the use of the system on our portal site and posted a manual on how to use the system there. A look at the management screen confirmed that the system was being used smoothly. While it could be said that the advance preparation of the manuals paid off, I think it was also thanks to HENNGE One’s intuitive and easy-to-understand UI and operability. We were also concerned about the reaction of our clients before we started using the system, but since the system can be used simply by following the instructions, there were no problems, especially since no one said they did not understand how to use the system. From the management side, the system is hassle-free to operate and manage, and since all logs are automatically recorded, we can be assured that there will be a trace in case of an emergency. In the past, we had to prepare cloud storage for file uploads with clients who refused to receive ZIP files, and we had to upload and download files each time. Since switching to HENNGE One, we no longer need to do so. Now that we have a PPAP-free system in place, I think it will enhance the credibility of our business partners. (Mr. Katayama).

In addition, an employee commented, “It is convenient to be able to review the body of an e-mail I have written on the confirmation screen where the e-mail is temporarily put on hold to prevent accidental transmission and to confirm whether to send it again. The confirmation screen of the previous service only showed the subject line, so this is another point where the change to HENNGE One has been well received. (Mr. Uchihara)

Finally, what are your thoughts on the future and what are your expectations for HENNGE One?

I am relieved to hear that our concerns about e-mail security have been addressed with this replacement. However, I am sure that there will be many changes in this area in the future, so I hope that HENNGE will continue to share with us the latest information and examples of use at other companies.
