HENNGE One Data Loss Prevention (DLP) Edition is an integral part of the HENNGE One suite of products, and customers can choose from three editions with distinctive features to meet various organizational needs and requirements. Discover how DLP Edition helps safeguard confidential data from accidental loss or leakage.

As more companies and organizations migrate to the cloud for storing critical business information, implementing a data loss prevention (DLP) policy is becoming increasingly crucial. DLP software helps ensure that sensitive data remains within digital boundaries, protecting it from unauthorized access, breaches, and other forms of fraud. Adopting a robust DLP solution helps businesses maintain compliance with data protection regulations. Without a solid data protection strategy, organizations are more vulnerable to cyberattacks, which can put valuable data at risk and erode customer trust.

HENNGE One Data Loss Prevention Edition is an integrated security solution that acts as a layer between the sender and recipient by filtering emails based on user-defined rules. HENNGE One DLP has five core features: Secure Download, Email DLP, File DLP, Secure Transfer, and Email Archive.

HENNGE’s file transfer solution, HENNGE Secure Download, is a countermeasure against the traditional password-protected attachment protocol (PPAP). With PPAP, password-protected zip files are sent via email, and the password is shared in a separate message. “PPAP was intended to prevent document leakage in case emails were intercepted during transmission or mistakenly sent to the wrong person. However, since the attachments and password go through the same communication channels, this could pose security risks, and not much can be done when the password is accidentally forwarded to the unintended recipient,” explains Mami Ogasawara of the Product Planning & Research Division, Go-To-Market Strategy Section.

HENNGE Secure Download Solutions

HENNGE Secure Download automatically detaches and uploads password-protected email attachments, converting them to secure URLs. The recipient verifies their email address by clicking the URL either in the PDF file or embedded in the email body, then enters a verification code to download the file. If the sender attaches the wrong file, the URL can be invalidated after sending to reduce the risk of information leakage. This de-PPAP solution by HENNGE is used by more than 500,000 companies* throughout Japan (*latest data as of July 2024).

With HENNGE Secure Download for Box, attachments are sent to Box, a cloud content management platform, instead of the HENNGE One server. The sender sends the file as an email attachment, and the file is automatically uploaded to Box. The recipient receives a message with a PDF containing the file sharing URL and can download the file using the authentication code sent in a separate email.

HENNGE Secure Download for Box lets users organize email files into folders on Box according to the sender’s email address and each email sent,” says Mika Tanimoto of the Cloud Sales Division, Inside Sales Section. “Administrators can set access permission for each folder, which allows for centralized management of who sent what files and when. This makes things more convenient for users and improves operational efficiency.”

Preventing Email Data Leaks with HENNGE Email DLP

One of the most common causes of email data leaks is human error, which happens when emails containing sensitive or personal data are sent to the wrong recipients. Companies would benefit from implementing data loss prevention in their email security

architecture to prevent sensitive information from being shared with unauthorized individuals.HENNGE Email DLP helps prevent erroneous or suspicious email transmissions by filtering messages based on user-defined rules. These configurable filters can enable email sending after receiving supervisor approval, temporarily suspend outgoing emails, or automatically delete emails that meet predefined criteria. With HENNGE Email DLP, a designated hold period can be applied for emails sent outside the company. If errors are identified during this time period, the email transmission can be canceled.

File DLP: Monitoring File Sharing Across Platforms

Also included in the DLP Edition is File DLP, which provides centralized management and real-time visibility into the file sharing status across various cloud storage platforms. By monitoring who has access to files, organizations can prevent the external sharing of protected or confidential data. With File DLP, administrators can configure sharing permissions either manually or automatically. Also, if a sharing function is not compliant with the detection policy, the sharing link is automatically removed. This helps prevent unauthorized access to confidential information due to misconfigured sharing links or fraudulent activity.

Securely Send Large Files with HENNGE Secure Transfer

Another feature of the DLP edition is HENNGE Secure Transfer, a file transferring service that allows users to send and receive large files safely when they cannot be sent as email attachments due to size limitations. HENNGE Secure Transfer addresses the evolving needs of modern businesses by facilitating seamless communication and collaboration while safeguarding sensitive information.

“With HENNGE Secure Transfer, users can securely share large files with external contacts, ensuring confidentiality and integrity throughout the process. One key point is that we offer temporary data transfers, which reassures customers that their data isn’t stored permanently to address privacy concerns,” cites Shinya Matsuura of the Cloud Product Development Division.

Email is considered the lifeblood of business communication, and email archiving—or safely storing emails in a searchable and retrievable format—plays a crucial role in effective data management. By archiving emails that are no longer actively needed in a secure environment for long-term retention, organizations can easily retrieve specific messages or documents when required.

HENNGE Email Archive is an email archiving and auditing solution with three main functions: email archiving, mail archive search, and lifecycle management of archived emails. HENNGE Email Archive offers unlimited storage, with a backup retention plan of up to 10 years, depending on the contract.

In line with its corporate philosophy of “liberating technology,” HENNGE continuously supports companies in harnessing cloud-based solutions with a range of functionalities to create flexible workspaces and enhance employee productivity.
